Your organisation has a number of regional offices situated across the globe eg Glasgow, London, Singapore, Switzerland and USA. “Hot desking” has now become commonplace for many full time office based staff including administrative, training and project staff who all have a variety of requirements in relation to access to electronic media such as tablets, laptops, desktop pc’s, broadcasts and video conferencing facilities. The board member responsible for Occupational Health has requested a summary overview to use at the next Board Meeting to assist in the discussion of formalising the ‘informal hot desking’ within the organisation. This should highlight the risks of a hot desking, how the environment can be assessed and the control measures necessary to ensure the health of employees. As part of this summary report you need to identify the following headlines: • Potential health risks to employees within an office based environment and how these are affected by the increased move to hot desking. • Any other potential risks associated with DSE eg use of different software across the organisation. • How does the increased move to hot desking impact the effectiveness of control measures? • What are the key challenges in achieving effective control of the identified risks and how is continued effectiveness assured? • What current systems ensure that a safe and healthy place of work for these employees is provided and/or what are the next steps required? Use relevant reference material such as any organisational Office based safety programme(s), Workplace Ergonomics and Environmental Guidelines, Cognitive Software Ergonomics Standards to aid or support your report or as well as any regional regulations or compliance requirements. Module 6: Activity D – Upper Limb Disorders and Hand Tools This Activity uses the out-put of the thinking points and materials of the Unit. Using the answers of the ULD report quiz and your reading in the Hand Tool Checklist thinking point prepare an advice note for procurement summarising the points to consider when they are purchasing hand tool equipment.
