Health related research is impacted by multiple contexts and stakeholders involvement which leads to large data collection. Qualitative study is one that uses qualitative methods of data collection and analysis to produce a narrative understanding of the phenomena of interest. Qualitative methods of data collection may include, for example, interviews, focus groups, observations and analysis of documents. This is necessary to fully understand the complex phenomena being studied. The management of these large data sets in a qualitative research study can lead to numerous challenges and overwhelming to the researcher in establishing trustworthiness of the study. (Oelke, 2012) Organization of data and attention to accuracy are essential when working with such large qualitative data sets. Qualitative research aims to bring improvement by compiling and analyzing data to get understanding from the subjects lived experiences, therefore, special guidelines must be strictly followed to ensure transparency, logical reasoning, and criticality.
Establishing realistic timeline to collect, coding and analyze data is one of the strategies a researcher must use to manage and organize their data and remain accurate. If researchers, are working as a team each team member should be aware of the specific time line of the data collection. As data collection may occur across a number of sites by more than one research assistant, research teams encounter logistical issues and have difficulties maintaining predetermined timelines. There should be regular communication among team members to remain focused on their time line. This means even other interesting and tempting data that comes up after the stipulated time frame should not be collected or used in data analysis as this will give inaccurate results. There are varying levels of tasks that must be considered in any timeline such that the researcher should make a list of tasks to be accomplished and put them in chronological order as to which task is done first. The timeline should ne filled up with big tasks to be met and the level of tasks may be categorized by color such that by the end of the set time all tasks will be accomplished.
Another strategy that will help the researcher in managing and organizing data is naming of files. The researcher should choose and follow a clear file naming system and files should be named consistently. Files name should be short but descriptive and special characters are to be avoided when naming files by making use of capitals and underscore instead of period, slashes or spacing. The development of a system of file naming can actually save much frustration and tedious searching at critical times in our work. It also makes the naming of a certain file much easier, as there is a predefined algorithm to follow. (DeVries, 2017). This will help in eliminating file lose, avoiding unnecessary duplication of files, giving more efficiency in file sorting and searching and easy file location. The end goal of good file naming is simply to be able to recognize at a glance the content of that file.
