I need help with replying to My Professor and 2 classmates. Here is my post for reference when responding to my professor.
How to Ensure Staff Members Completely Utilize IT Applications
In the healthcare system, IT can play a significant role in improving the efficiency of a healthcare institution, and at the same time, it may result in adverse losses when applied in the wrong ways. In ensuring that our facility utilizes IT applications to the fullest extent, the first approach is training all our staff members on how to operate the IT applications used in the facility. Before offering the training sessions, the first approach that will be considered is gaining responses from the staff members on the training styles they consider. The strategy will ensure that the training offered will be informative and comfortable enough for all staff members to gain adequate knowledge.
After installing the IT systems, more training will be offered to the staff members to ensure that all staff members in the facility are in the same phase to promote the effectiveness of the IT system. Additionally, solo learning sessions will also be offered to staff members who may need help to completely adapt and grasp all the information required to operate the system.
Types of Controls Used To Ensure Quality Data Is Captured and Retained In IT Platforms
Several control tools facilitate quality data capturing and retention. Data cleansing tools are an essential control that prepares data for proper analysis and storage by removing corrupted, irrelevant, and incomplete data (Ridzuan & Zainon, 2019). A data enrichment solution is an essential control tool that completes existing data by automatically updating the data for storage. Data validation automation and services are control tools that ensure data quality is maintained during data transfer. Data Governance control tool that ensures high-quality security and storage of data in one central place (Yebenes & Zorrilla, 2019). Data quality platforms are control tools that help maintain and improve data quality by managing and tracking data in the entire data lifecycle.
Here is the question to me from my Professor- “Do you see these essential tasks as being something that can be performed by in-house departments or teams, or is it best to bring in an outside contractor that has the required knowledge, skills, and tools?”

Here is Classmate 1- “IT applications can be difficult to understand if not properly train. Training will allow staffs recognize applications, but it doesn’t always result in understanding applications to the fullest. There are many methods organizations can take to ensure staff understanding and utilization of IT applications, but the most effective would-be experiences. Training is similar to obtaining knowledge, which is a great way of introducing applications to staffs. When staffs experience each application, they will be given opportunities to expand on their knowledge through mentorship, apprenticeships, and measuring performances. Integrating IT applications in daily work, such as, EPIC Care, where it allows staff to move patients in and out of units, understand the patient’s location, and pull up patients’ diagnosis, staff will become familiarize with the system. Leaders and managers should be trained to fill in gaps wherever it’s needed. As organization utilize IT applications daily, staff will learn, experience, and improve their care by integrating those application into their practices.
Type of controls used to ensure quality data is captured and retained in IT platforms are IT general controls (ITGC) and IT application controls. IT platforms control have power over programs and data, leaders’ access, and staff access. Using ITGC it allows the organizations to filter out unwanted information and protect patients’ privacy and security. Only those who are qualified and approve can have access. This is also called internal control, where it approves, authorizes, and verifies users. EMR is a great example of ITGC because it only approve of certain users and allowing them to look and make changes to EMR. Different authorizations are given to different users, for example physician may have more authorizations than a HUC. This doesn’t mean that physician has more knowledge about the system, it just mean they have the ability to make changes that a HUC cannot. IT application controls are mostly used by tech support. They focus on ensuring applications are secure, verifying users before giving them authorization, and structuring applications where staff can understand.”
Classmate 2- “As a healthcare administrator, how I would ensure staff are utilizing IT applications would a team test out the beta. This will help with any questions and familiarize staff with how to navigate through the system. After the beta testing I have a staff complete training sessions and provide a frequently asked questions section to assist with questions they may have in the future. IT may be foreign to some but to properly utilize the technology, training is a must. The training give adequate base knowledge on the system.
There are several types of controls that can be used to ensure quality data is captured and retained. Data controls will assist with protecting sensitive data. IT general controls are controls that applies to all systems. Common ITGCS are logical access controls over infrastructure, applications, and Data. (Price of Business, 2022) This will protect the server, work stations, application software by limiting access privileges to the programs.”
